Terms of Service

1. Agreement to these Terms

These Terms of Service (the “Terms”) govern your access to and use of SideKrew’s websites, applications, and services (together, the “Service”). By creating an account, signing in, or otherwise using the Service, you agree to these Terms on behalf of yourself and any club, league, association, or organization you represent (“your Organization”). If you do not agree, do not use the Service.

If you are accepting these Terms for an Organization, you represent that you have authority to bind that Organization.

2. The Service

SideKrew provides software that helps volunteer-run grassroots and youth sports organizations operate — including a crew of AI agents that take on administrative work such as scheduling, registration, payments coordination, and communications, alongside the supporting platform.

SideKrew is ad-free and applies no markup to the registration or payment amounts your Organization collects from families. You are responsible for the accuracy of the data you provide and for the decisions you approve.

3. Accounts and eligibility

You must provide accurate information and keep your account secure. You are responsible for activity under your account. The Service is intended for use by adults (administrators, coaches, team managers, officials, and parents/guardians); it is not intended for direct use by children.

You are responsible for ensuring that the people you invite or grant access to within your Organization are authorized to receive that access.

4. AI agents and automated actions

The Service uses AI agents that act on your Organization’s behalf within the autonomy level you configure. Agents always identify themselves as agents. Actions that move money or affect a family require your explicit approval, and agent actions are logged and reversible to the extent practicable.

You remain responsible for reviewing and approving the actions presented to you. SideKrew is not liable for outcomes resulting from actions you approve or from autonomy settings you choose.

Agents will never knowingly contact a minor directly.

5. Acceptable use

You agree not to misuse the Service, including: violating any law or third party’s rights; uploading unlawful, harmful, or infringing content; attempting to gain unauthorized access to the Service or other organizations’ data; interfering with or disrupting the Service; or using the Service to send unlawful communications.

6. Payments and fees

Subscription fees for the Service, if any, are described at the time you subscribe and are billed through our payment processor. Registration and other amounts your Organization collects from families are processed via Stripe and flow to your Organization — SideKrew does not add a markup to those amounts.

You are responsible for your Organization’s own tax, refund, and financial obligations to its members and families.

7. Data and privacy

Our handling of personal information — including children’s data, consent, access, correction, erasure, and Canadian data residency — is described in our Privacy Policy and follows the Quebec Law 25 / PIPEDA baseline. By using the Service you agree to the Privacy Policy.

You are responsible for having the necessary authority and consents to provide the personal information your Organization enters into the Service.

8. Intellectual property

SideKrew and its licensors own the Service and all related intellectual property. You retain ownership of the data your Organization submits, and you grant SideKrew the rights needed to operate and improve the Service for you. We do not sell your data.

9. Disclaimers

The Service is provided “as is” and “as available,” without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose, and non-infringement. SideKrew does not warrant that the Service will be uninterrupted, error-free, or that AI-generated outputs will be accurate or complete.

10. Limitation of liability

To the maximum extent permitted by law, SideKrew will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, revenue, or goodwill. To the maximum extent permitted by law, SideKrew’s total liability arising out of or relating to the Service will not exceed the amounts you paid to SideKrew in the twelve months before the event giving rise to the claim.

11. Indemnification

You agree to indemnify and hold SideKrew harmless from claims arising out of your Organization’s use of the Service, your content, or your violation of these Terms or applicable law, to the extent permitted by law.

12. Termination

You may stop using the Service at any time. We may suspend or terminate access if you violate these Terms or to protect the Service or its users. On termination, you may request export or deletion of your Organization’s data as described in the Privacy Policy.

13. Changes to these Terms

We may update these Terms from time to time. Material changes will be communicated through the Service or by email. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

14. Governing law

These Terms are governed by the laws of the Province of Quebec and the federal laws of Canada applicable there, without regard to conflict-of-laws principles. The courts located in Quebec will have jurisdiction, subject to any non-waivable consumer-protection rights.
